Scheduling & Rescheduling
Clients are required to provide a minimum of 24 hours’ notice to reschedule or cancel any scheduled training session. All requests must be made directly to your training coach and must receive written confirmation (text, email, etc.) to be considered valid.
Each client is permitted up to two (2) reschedules or cancellations within a 30-day training cycle. Any additional changes beyond this limit may result in the forfeiture of the session.
Late Cancellations & No-Shows
Cancellations made with less than 24 hours’ notice will be considered a late cancellation and will result in the loss of that session.
Failure to attend a scheduled session without notice (“no-show”) will also result in a forfeited session.
Late Arrivals
Clients who arrive late will receive the remaining time of their scheduled session. Sessions will not be extended beyond their original end time. If a client is more than 15 minutes late without notice, the session may be considered a no-show at the coach’s discretion.
Communication
It is the client’s responsibility to ensure clear and timely communication with their coach regarding any scheduling changes. Messages sent without confirmation do not guarantee a reschedule or cancellation.
Packages & Expiry
All training sessions must be used within the agreed-upon training cycle (30 days unless otherwise specified). Unused sessions after this period may expire and will not be carried forward.
Refund Policy
All sales are final. No refunds will be issued for any purchased training sessions or packages.
Forfeited Sessions
Missed, late-cancelled, or unused sessions are considered forfeited and are non-refundable and non-transferable.
**Confidentiality & Data Retention Policy**
All client information is treated as strictly confidential and will not be disclosed, shared, or distributed to any third party without the client’s prior written consent, except where required by law.
Client records, including personal, health, and training information, are securely stored and only accessed by authorized personnel for the purpose of providing services.
Upon the closure of a client’s training services, their file will be retained for a period of one (1) year. After this retention period, all physical documents will be securely and confidentially destroyed, and any digital records will be permanently deleted in a secure manner.
Reasonable measures are taken to protect client information from unauthorized access, loss, misuse, or disclosure at all times.
